Eight steps.
You do three of them.

Set up once before the term, audit once at the end, and press publish. Everything between those is the teachers doing what they already do — just once instead of three times.

Before the term

Set up the school once

Name the academic year and its terms, create your classes, and add your subject list. Pick several classes and several subjects together — every JHS class usually takes the same ones.

You only ever do this again when you add a class.

02Head teacherA few minutes per class

Bring your roll in as it is

Paste a class list or upload the Excel file you already have. Column headers are matched automatically — surname, other names, sex, D.O.B, age, phone, email — and everyone is shown to you before anything is saved.

Each student is given an index number automatically. That number never changes.

03Head teacherA minute each

Issue your teachers

Add a teacher and their staff ID and PIN appear on screen once — write it down and hand it over. Then assign them a subject across as many classes as they take, in one action.

Those assignments are the teacher's permission. Nothing they do can widen them.

During the term

04TeacherAs they mark

Teachers enter marks

A staff ID and PIN on a phone, and they see only the classes and subjects you gave them. Enter moves down the column rather than across the row, so the cursor follows the paper they're reading from.

End of term

They send it up to you

Marks are saved before they're sent, so nothing can be sitting only in a browser. From that moment the sheet is read-only for the teacher and appears in your queue.

06Head teacherAn evening

You audit before anything leaves

Each subject arrives with its class average, highest, lowest and grade spread — plus the rows worth a second look: students with no marks at all, and students with only one of the two. One tap filters to just those.

Approve it, or send it back with a note the teacher reads word for word.

07Head teacherOne press, or none

Publish — now, or Friday at four

Release a class immediately, or set a time and it goes out on its own. Averages and positions are worked out at the moment of release, so a mark corrected in between is included.

Change your mind and withholding pulls it back the same second, everywhere.

Before you ask

The questions head teachers actually ask.

No. A teacher signs in with a staff ID and a six-digit PIN you issue — no email account, no password to reset. Their PIN is shown to you once when you create them, and you can reset it any time.

No. Nothing is reachable by anyone outside the school until you publish a class. Before that moment there is no link, no page and no way in. If you publish and then need to pull it back, withholding removes it immediately — including from any link a student has already shared.

Send it back with a note. The teacher sees your note word for word at the top of their mark sheet, corrects it, and sends it again. Marks stay editable while a submission is in draft or has been returned, and lock once you approve.

Yes. GES basic schools use 50/50 and senior high still uses 30/70, so the split is yours to set. Marks are stored raw out of 100 and weighted when a card is read, which means changing the split recalculates correctly rather than leaving old totals behind.

No. There are nine report card templates across GES, Cambridge and Montessori, and any school can use any of them for any level. A private school running Cambridge for primary and GES for junior high is one tab apart in the settings.

Yes. Teachers enter marks on phones in the staff room, and that is the case the mark sheet was designed around. Parents check results on phones too — no app to install, just an index number.

They stay. A student's index number opens every term ever published for them, going back as far as your school has records in the system, with the class they were in at the time printed on each card.

Your data is not deleted. Access to the dashboard is suspended until payment resumes, and the billing page stays reachable so you can resume it. If you close the account entirely we keep the data for 90 days so it can be exported or recovered, then delete it.
